The German student visa from India: the complete appointment playbook


The student visa is the last big gate, and it scares people more than it should. The process is clear once you see it laid out: it starts online, moves to a VFS appointment for documents and biometrics, and the decision is made by the German mission, not by an agent and not by VFS. No one can "guarantee" it; honest, consistent documents are what win.

The shape of it: fill the online portal → it generates a VFS booking link → grab a slot (these are the bottleneck) → attend with two identical document sets → pay €75 → wait for the mission's decision.

Start on the official Consular Services Portal

Begin at the official portal (digital.diplo.de/visa). Choose "Study purposes and seeking a university place", complete the questionnaire, and upload your documents. The portal then generates your VFS appointment booking link. This online step comes first, before any VFS booking.

Book your VFS slot, for the right mission

Book at visa.vfsglobal.com. Crucially, select the German mission for your state/district of residence, not where your university is. Slots usually open 6 to 8 weeks ahead, with new ones appearing early in the week (Monday to Tuesday mornings, IST), and in peak season they're gone within hours.

Slots are the real bottleneck. Check daily, early in the morning. Booking is free on the official site; never pay a tout for a "slot".

Assemble two identical document sets

Bring originals plus two complete photocopy sets, in order. Officers check that your SOP, admission, finances and answers all tell one consistent story. Use the official checklist from your mission as the master list and tick it twice.

At the appointment

It's mainly document submission and biometrics (fingerprints + photo), plus a few straightforward questions: why this university, why this course, how it fits your career. Answer calmly and consistently with your SOP. Pay the €75 fee. The whole thing runs about 10 to 20 minutes.

After: the mission decides

Your file goes to the German mission, which makes the actual decision. Processing time varies; track it through VFS. Once approved, you can confidently book your flight (see our flights guide).

What gets files rejected or delayed

  • Inconsistencies: your SOP says one thing, your answers another.
  • Missing or weak finances: blocked account not confirmed, or insurance under €30,000.
  • Wrong mission: booking outside your residence jurisdiction.
  • Incomplete sets: one missing copy can mean a wasted appointment.
  • Vague intent: not being able to explain, simply, why this course and what comes after.

Can anyone guarantee my visa?

No. The mission decides on your documents and intent. Be wary of anyone who "guarantees" approval.

How early should I start?

As soon as you have admission + blocked account. Slot scarcity, not paperwork, is what costs people an intake.

Is the interview hard?

It's short and factual. If your documents are consistent and you can explain your plan in a sentence, you're fine.
